1. Who we are
Wastenify LTD ("Wastenify", "we", "us", or "our") operates the Wastenify website and the customer and collector applications. We are responsible for deciding how personal information is used for the purposes described in this Policy.
This Policy covers customers, people arranging collections for a business or household, collector applicants, approved collectors, website visitors, and people contacting support. It explains our handling of personal information under Ghana's Data Protection Act, 2012 (Act 843) and other applicable law.

2. Information we collect
When you use Wastenify, we may collect information that you provide directly to us and information generated through your use of our website, mobile applications, and waste collection services.
We also receive information from collectors, payment providers, and verification providers as relevant to the categories below. We provide any additional notice required when information comes from someone else.
Account and Contact Information
When you create or use a Wastenify account, we may collect information such as your:
- Name
- Phone number
- Address
- SMS verification information
- Account and profile information
We use this information to create and manage accounts, verify users, communicate with you, and provide Wastenify services.
Pickup and Booking Information
When you request or schedule a waste collection, we may collect information including:
- Pickup address or location
- Requested pickup date and time
- On-demand or recurring pickup preferences
- Type of waste
- Estimated waste amount or size
- Pickup instructions you provide
- Pickup and job status
- Information associated with completed or cancelled pickups
We use this information to schedule, assign, manage, and complete waste collection services.
If you provide another person's contact details for a pickup, make sure you are authorised to do so and make this Policy available to them.
Location and GPS Information
Wastenify uses location information as part of providing and verifying waste collection services.
Depending on how you use the platform, we may collect:
- Precise GPS location information
- Pickup and drop-off locations
- GPS coordinates associated with collection activities
- Location timestamps
- Collector location information required for navigation and service tracking
- Disposal location information
- Information used to determine whether a disposal location falls within an authorized geofenced area
For collectors, location information may be recorded during pickup and disposal activities to verify that collections have been completed and that collected waste has been delivered to an authorized disposal site.
Location information may also be used for navigation, service tracking, operational monitoring, dispute resolution, and preventing unauthorized or improper disposal of waste.
Collector and Vehicle Information
If you register or operate as a Wastenify collector, we may collect additional information necessary to verify your eligibility and manage collection services, including:
- Vehicle details
- Required permits
- Collector verification information
- Information necessary to conduct or confirm required background and eligibility checks
- Assigned and completed collection jobs
- Pickup and disposal records
- GPS coordinates and timestamps associated with collection activities
- Records of flagged or potentially non-compliant disposal activities
This information is used to verify collectors, assign and manage jobs, maintain service standards, and help ensure that waste is disposed of at authorized locations.
Where checks involve another organisation, the application notice will explain the information requested, the source, and the applicable basis for the check.
Payment and Transaction Information
When you make or receive payments through Wastenify, we may collect information relating to the transaction, including:
- Selected payment method
- Transaction and payment records
- Transaction references, receipts, and refunds
- Payment status
- Payment amount
- Cash-on-delivery confirmation, where applicable
- Information necessary to associate a payment with a pickup or collector
Payments may be processed through third-party payment service providers. Where payment credentials or financial account information are collected directly by a payment provider, they are handled according to that provider’s privacy and security practices.
Service and Disposal Records
We may maintain records relating to the delivery and completion of Wastenify services, including:
- Pickup history
- Collection timestamps
- Collector assignments
- Pickup and disposal locations
- Drop-off timestamps
- Authorized disposal-site verification
- Completed jobs
- Flagged or non-compliant disposal events
- Information confirming that collected waste was delivered to an authorized location
These records help us operate the service, verify proper waste disposal, resolve disputes, maintain accountability, and improve our operations.
Communications and Customer Support
If you contact Wastenify through live chat, telephone, SMS, or another support channel, we may collect information about your communication with us, including:
- Messages and support requests
- Information you provide when reporting a problem
- Complaints or service issues
- Support and resolution status
- Other information you voluntarily provide during the communication
We use this information to respond to requests, investigate issues, resolve complaints, and improve our services.
Avoid including sensitive information that is not needed to explain the issue. If calls are recorded, we will provide a separate notice before recording; this Policy does not by itself authorise recording.
Notifications and Communications Data
We may collect device push-notification tokens and related information necessary to send you service communications.
These communications may include booking confirmations, pickup updates, payment confirmations or receipts, collector or service updates, and other important notifications relating to your use of Wastenify.
Website, App, Usage and Diagnostic Information
When you use the Wastenify website or mobile applications, we may collect certain technical and usage information necessary to operate, maintain, secure, and improve the platform.
This may include:
- Information about interactions with bookings, pickup requests, payments, tracking features, and other Wastenify functionality
- Application errors and crash logs
- Diagnostic information
- Application performance information
- Technical information necessary to identify and troubleshoot problems
- Dates and timestamps associated with relevant application and service activities
We use this information to operate Wastenify, maintain application stability and security, diagnose technical problems, improve performance, and understand whether important service functions are operating correctly.
We do not intend to collect categories of personal information that are unnecessary for providing, securing, maintaining, or improving Wastenify’s services.
3. Location permissions and controls
For customers, we use the pickup address or location you provide to arrange collection. If you choose to use your device location to set the pickup point, we request the relevant device permission.
For collectors, location information supports navigation, collection updates, pickup and drop-off records, and checks against authorised disposal-site boundaries. We use these records to investigate service issues and possible non-compliant disposal.
You can manage device location permissions in your device settings. Restricting permission may prevent features that need location from working; for collectors, this may affect the ability to accept or complete tracked assignments. It does not automatically erase location information already recorded.
4. How and why we use information
We use relevant personal information to:
- Create and verify accounts, arrange collections, assign collectors, provide tracking, and manage recurring schedules.
- Process and reconcile payments, issue receipts and refunds, and administer collector payments.
- Check collector eligibility, validate disposal records, investigate incidents, and protect customers and collectors.
- Send verification messages, booking updates, payment notifications, and other communications needed for the service.
- Answer enquiries, resolve complaints, and maintain service records.
- Understand collection demand and disposal patterns, troubleshoot problems, and improve service planning.
- Prevent fraud, secure the service, meet legal obligations, and establish or defend legal claims.
Our legal basis depends on the activity. Account, booking, and payment processing is generally necessary to provide the requested service under a contract. Legal recordkeeping and disclosures may be required by law. Fraud prevention, proportionate service analysis, and security may rely on legitimate interests, subject to the safeguards and objection rights required by law. Where processing requires consent, we request it separately and explain how to withdraw it.
Required fields are identified when information is collected. Without the necessary account, pickup, or payment information, we may be unable to create an account or fulfil a booking. Without required collector verification information, we may be unable to approve an application. Optional feedback or marketing choices are not required to book a collection.
5. Who receives information
We share information only where relevant to the purposes described in this Policy:
- Assigned collectors: the pickup location, waste details, instructions, and necessary contact information to carry out the collection and resolve related issues.
- Customers: information needed to identify and follow their assigned collector, collection updates, and the disposal record associated with their booking.
- Service providers: providers of hosting, payment processing, mapping, messaging, customer support, and other tools used to operate Wastenify, limited to the information needed for their work.
- Verification and disposal organisations: information needed for an identified collector check, disposal validation, or investigation, where there is a lawful basis for sharing it.
- Authorities, professional advisers, and others legally entitled to receive it: where necessary to comply with law, address an incident, protect rights, or handle a legal claim.
Information Processed by Service Providers
Some information may be processed on our behalf by third-party service providers that help us operate Wastenify. These may include providers supporting:
- Cloud hosting and application infrastructure
- Mapping, routing, GPS, and location services
- Payment processing
- SMS and phone verification
- Push notifications
- Customer communications
- Application monitoring and crash reporting
The specific information processed by these providers depends on the services Wastenify uses and how those services are configured.
Staff and providers acting on our behalf are subject to appropriate confidentiality, access, and data protection requirements. A payment provider or separately identified collection provider may also be responsible for processing information for its own legal or operational purposes; its notice explains that processing.
Our policy is not to sell personal information or provide it to unrelated organisations for their own marketing. We will not publish identifiable household locations or collector movement histories as public service statistics.
6. Cookies, analytics, and marketing
The website may use cookies or similar storage to maintain a session, support security, and remember choices. Blocking essential storage may prevent parts of the service from working.
Where consent is required for optional tracking, we request it before activating the relevant technology. Accepting the Terms of Service is not consent to optional tracking or marketing.
We send promotional electronic messages only with the required prior consent, including written consent where Ghanaian law requires it. You can withdraw marketing consent using the option in the message or by writing to contact@wastenify.com. Essential booking, payment, security, and account communications are handled separately.
7. Processing outside Ghana
Some service providers may process information outside Ghana. Where this occurs, we assess the arrangement and require protections appropriate to the information and applicable law, including suitable contractual and security safeguards.
You can contact us for information about the overseas processing arrangements relevant to your data. Using Wastenify does not by itself constitute consent to every international transfer.
8. How long we keep information
We keep personal information only for as long as needed for the stated purpose or another lawful retention requirement. The period depends on the record:
- Account and booking information supports your account, collections, and resolution of service issues.
- Payment and accounting records are retained for applicable financial, tax, reconciliation, and dispute obligations.
- Collector verification records support eligibility checks and any necessary review or claim.
- Detailed location and disposal records are retained only as needed for operational verification, investigations, and applicable obligations.
- Support and security records are retained according to the issue, its resolution, and any continuing legal need.
We delete or de-identify information when its retention period ends. Where a record must be kept for an outstanding dispute or legal obligation, we limit its use to that purpose. Removing names alone is not enough if a location or other detail still identifies someone.
9. Security
We take reasonable technical and organisational measures appropriate to the information we hold and review safeguards as risks change. Access is limited to people and providers who need it for an authorised purpose.
No system can be guaranteed completely secure. If personal information is compromised in circumstances requiring notification, we will notify the Data Protection Commission and affected individuals as required by applicable law, as soon as reasonably practicable subject to any lawful exception.
Protect your phone, verification codes, and SMS access links. Report suspected unauthorised access to contact@wastenify.com.
10. Your rights and account deletion
Subject to applicable law and its conditions, you may request access to your personal information, correction of inaccurate or incomplete information, deletion or other appropriate action for information that should no longer be held, and cessation of processing where an objection right applies. You may also withdraw consent for processing based on consent and object to direct marketing.
To make a request or ask us to delete your account, email contact@wastenify.com and describe what you need. We may ask for proportionate information to verify your identity, but never your mobile-money PIN or payment verification code. We will respond within the applicable legal period and explain any lawful reason we cannot fulfil a request in full.
Deleting an account does not necessarily require immediate deletion of every record. We will explain any information retained for legal obligations, unresolved payments, disputes, or other lawful reasons. Uninstalling the app does not delete the account. We will also explain how any outstanding or recurring bookings will be handled.
You may complain directly to Ghana's Data Protection Commission without first contacting us.
11. Automated checks and review
Wastenify uses checks such as duplicate-registration detection and comparison of recorded disposal coordinates with authorised site boundaries. A check may flag an application or assignment for review and may lead to an investigation or a temporary payment hold under the applicable collector terms.
If you believe a check or resulting decision is incorrect, contact us and provide relevant information. You can request human review of a decision affecting your account or payment. We respect the protections that applicable law provides for significant decisions based solely on automated processing.
12. Children and policy changes
Children
Wastenify accounts and collector participation are intended for people aged 18 and over. We do not intentionally invite children to register. If you believe a child has provided personal information, contact us so we can assess the situation and take appropriate action under applicable law.
Policy changes
We may update this Policy when our services, data practices, or legal obligations change. We will publish the revised date and give appropriate notice of material changes. If a new use requires consent, we will request it; continued use alone does not supply that consent.
